Covid-19 Lockdown Opportunities for Event Organisers.

Andy Robertson

Most countries have been in some form of lockdown since the end of March 2020 and as a result almost all events for the foreseeable future have either been postponed or cancelled. Aside from the financial pressures of cancelling events try and look for the opportunities and positive steps you can make as an event organiser to plan for the future

No matter how good you think your event planning and organisation is there will always be improvements that can be made. If you are regularly running events there will numerous systems and a process that have been identified as problems or issues. The trouble is you have never had the time to address these. This is why now is the perfect time to address these issues. Some common issues to address may include:

Data Management.
If you're collecting masses of data from ticket sales how are you organising this? Firstly, and most importantly make sure you are complying with Data Protection regulations in your jurisdiction. Assuming your business is compliant how are you holding that data? If it exists in a spreadsheet of some description you should consider getting it onto a proper CRM (Customer Relationship Management) system. This is going to save you stacks of time and you get the added benefit of being able to slice and dice the data for marketing campaigns and other customer communications as well as the ability to research customer behaviour for future activity.

Customer Registrations.
Linked to your data management above, the collection of customer data should be a seamless process linked between your website (or venue on-site) ticket sales registrations and your CRM system. This is also going to save time and for sure will be more accurate. If you implement CRM it should mean no more manual data entry.

Audience Engagement.
Assuming you have your CRM system and data collection streamlined it allows you to focus on customer engagement. Something you should be doing in the current climate to keep your loyal customers engaged. Most CRM systems allow you to link to your social media channels making announcements easier and instant.

Technology.
U
sing the right technology is surely going to make your event organising more efficient and it will save you time allowing you to focus on other key aspects of running your event. Consider using an event specific software application that can automate your customer registrations and link to any CRM system you use. The benefit of using an events software platform are the added features usually available to help automate almost every aspect of your event planning and implementation
